    Sort by the question, not by the document

    Inspectors arrive with questions, not filenames. Group everything under the question it answers — who is with the children, is the building safe, what happens when something goes wrong — and the folder starts matching the conversation.

    Put the staff file at the front

    Vetting, qualifications, references and first aid are where almost every inspection opens. One page per person, in the same order for every person, so the second file is read at a glance.

    Date everything, including the things that never change

    A policy with no review date reads as a policy nobody has looked at. The date is the evidence that the document is alive.

    Keep one register of what expires

    Vetting, first aid, fire drills, insurance and qualifications all expire on their own schedule. Tracked in five places, they are tracked nowhere.
