Steps to close your account

Monthly subscribers: your subscription will be cancelled at the end of your next billing period. Eg. if you give notice on 10th of March but your subscription renews on the 1st of the month, your account would be cancelled at the end of April.

Annual subscribers: refer to your contract for the applicable notice period. Early termination of annual plans does not entitle you to a refund of prepaid fees unless otherwise agreed in writing.

Notice must be submitted in writing to support@acorncloud.net from the registered account holder's email address. Verbal or in-app requests do not constitute valid notice.

Exporting your data

AcornCloud allows export of all key operational data. We recommend downloading everything before your access end date - data cannot be retrieved after account closure.

Children

Child profiles, medical info, emergency contacts, parental permissions, accident & incident forms.

Attendance

Daily registers, sign-in/out records, staff attendance, absence records

Finance

Invoices (PDF + CSV), payments, ECCE/NCS funding summaries, outstanding balances

Staff

Staff profiles, Garda vetting records, qualifications, training logs

Important: notify parents that once your subscription ends, they will lose access to AcornCloud Family app - including their child's learning journey, photos, and messages. We recommend giving parents at least 2 weeks' notice.

Data retention and deletion policy

Retention periods following account closure

Upon termination of your AcornCloud subscription, the following data retention schedule applies:

  • Child and family data: retained for 90 days post-closure in a read-only, non-accessible state, then permanently deleted. This grace period allows for data recovery requests in the event of erroneous termination.

  • Financial and billing records: retained for 7 years in compliance with Irish Revenue requirements and the Companies Act 2014.

  • Subscription and account metadata: retained for 3 years for legitimate business, audit, and dispute resolution purposes.

  • Support and communications logs: retained for 3 years for quality assurance and legal compliance.

  • Anonymised usage analytics: retained indefinitely in aggregate, anonymised form only. No personally identifiable information is included.


GDPR & data processing

AcornCloud acts as a Data Processor on behalf of your setting (the Data Controller) for the purposes of GDPR (EU) 2016/679 and the Data Protection Acts 1988–2018. You retain responsibility for notifying parents and staff of account closure and the consequent end of data access.

A Subject Access Request or formal data deletion request under Article 17 GDPR may be submitted to privacy@acorncloud.net. Requests will be processed within 30 days of verification.


Data portability

You are entitled to receive all personal data held on your behalf in a structured, commonly used, machine-readable format prior to account closure. AcornCloud will provide exports in CSV and PDF formats at no additional charge. Requests must be submitted before your access end date.


No liability for post-closure losses

AcornCloud accepts no liability for data loss, regulatory non-compliance, or operational disruption arising from failure to export data prior to the account closure date. It is the sole responsibility of the account holder to ensure all required data is downloaded and stored securely before access ends.

Cancellation policy and terms

Refund policy

AcornCloud does not provide refunds for partial billing periods on monthly subscriptions. Annual subscription fees are non-refundable except where termination is initiated by AcornCloud without cause, or where required by applicable Irish consumer protection legislation.

Outstanding balances

Any outstanding invoices, usage charges, or fees become immediately due and payable upon submission of a cancellation notice. Account closure will not be processed where an unpaid balance exists. AcornCloud reserves the right to pursue outstanding amounts through appropriate legal channels.

Selling your crèche

If you are transferring ownership of your setting and the new owner intends to continue using AcornCloud, please notify us in writing with documentary evidence of the transfer. Subscription terms and data will be transitioned to the new owner subject to their entering into a new subscription agreement. AcornCloud is not responsible for data access disputes arising from ownership changes not notified in advance.

Reactivation

Former customers may reactivate their account within the 90-day data retention period. Data will be restored to the state it was in at time of closure. After 90 days, all data is permanently deleted and cannot be recovered.

Governing law

These terms are governed by and construed in accordance with the laws of Ireland. Any disputes arising in connection with your subscription or these terms shall be subject to the exclusive jurisdiction of the Irish courts.

Final payments

Please ensure your account balance is settled in full before your account closure date. If you have an active Direct Debit with AcornCloud, this will be cancelled automatically after your final payment is processed. If you pay by card or bank transfer, please ensure no balance is outstanding.
